More than a decade of family NAS, one failed disk, and an AI that finally got me off my ass.
Some purchases you make and then forget about. In the best possible way.
Twelve years ago, I bought a Synology DS414 — a four-bay NAS that would serve as the central storage and backup hub for our family. It wasn’t cheap. Four bays, four drives, the enclosure itself — serious money for a piece of home infrastructure that most people skip entirely. „Just use a USB drive,“ they say. „Just use iCloud.“
I didn’t. And it was one of the best tech decisions I’ve made. I wrote about the whole setup back in 2014 — the goals, the reasoning, the first steps. Still stands up.
The deal was simple: every device in the house could back up to the NAS. Photos, documents, school files, projects — all of it, automatically, without thinking about it. The kids grew up knowing the NAS was there. My wife knew she could store her Macbook backup somewhere that wasn’t Apple’s monthly subscription. Peace of mind, distributed across four spinning drives.
Set it. Forget it.
Which, as it turns out, is both the best and the worst thing you can do with a NAS.
The Blink
Synology’s DSM software is genuinely great at telling you when something is wrong. It doesn’t hide problems. It doesn’t make you dig through logs or run diagnostics manually. It just tells you. Clearly. With an email, a notification, and a dashboard that turns the right parts red.
One of my four drives was failing. Bay 4. The volume had degraded. The NAS was still running, still accessible — but no longer redundant. One more bad day and we’d be looking at data loss.
I saw the alert. I understood exactly what it meant. And then I did what many of us do when a problem is real but not yet catastrophic:
I waited.
The Procrastination
The issue wasn’t technical ignorance. I knew what needed to happen:
- Get a backup of the NAS data to an external drive — just in case
- Find a compatible replacement drive
- Swap it out
The issue was friction. Which external drive? My existing externals were years old and I didn’t trust them. Which replacement internal drive? The original Synology-certified drives were almost €500. Was there an alternative? Probably — but researching that takes time, and every time I opened a browser tab to look into it, something else came up.
Weeks passed. The NAS blinked red. Life moved on.
The Kick
Enter Gemini.
Not for any particularly sophisticated reason. I just opened a chat and started asking questions. Which external drive should I buy for a one-time NAS backup? What’s a compatible replacement drive for a DS414 that doesn’t cost a fortune? What’s the exact sequence of steps to do this safely?
Forty minutes later, I had answers to all of it. A specific external HDD recommendation (well within budget). A compatible internal drive at a fraction of the price I’d seen before. A clear, numbered process: backup first, confirm backup is complete, pull the tray, replace the drive, reinsert, let the volume rebuild.
The AI didn’t do anything I couldn’t have done myself with enough motivation and a few evenings of research. But that’s exactly the point. It collapsed weeks of vague intention into one focused session. There was nothing left to figure out. The procrastination had run out of excuses.
I ordered the drives. They arrived. I had no reason not to just do it.
The Swap
I expected this to be harder than it was.
I expected screws. Tools. Connectors that need wiggling just right. The kind of fiddly hardware job that takes twenty minutes and leaves you three YouTube tutorials deep, questioning every life choice. I had just forgotten how I initially installed the NAS.
What actually happened: I pulled out the Bay 4 tray. The old drive unclipped from it in seconds. The new drive clicked onto the tray. I pushed the tray back in. The NAS accepted it immediately and I started the rebuild process in the memory manager.
No screws. No glue. No special tools. No drama.
The dashboard showed volume repair progress in real time. That was it.
The Bonus
My son Leon-Ferris happened to be around when I opened the NAS.
So instead of doing this quietly at my desk, I turned it into a moment. Showed him the four bays, explained what RAID means in practice, walked him through why the system can tolerate one drive failing without losing any data. He’s eighteen and sharp — he asked good questions.
It was one of those small, unplanned moments where technology stops being abstract and becomes something you can actually see and touch. Worth more than any tutorial.
What I Took Away From This
„Set it and forget it“ is not a data strategy. It’s a starting point. Hardware has a lifespan. Drives fail. The question isn’t whether — it’s when, and whether you’re ready for it.
Data sovereignty means ongoing responsibility. If you don’t want your files living in someone else’s cloud, you accept the tradeoff: you manage the infrastructure. That’s not a complaint — it’s the deal. And it’s a fair one.
Good infrastructure pays off years later. The DS414 is more than a decade old and still running. The fact that I could replace one drive in minutes, without specialist knowledge or vendor support, is exactly what I paid for back when I bought it. That investment aged well.
AI as procrastination killer. Not because it does the work. Because it eliminates the ambiguity. When every question has an answer and every step is clear, the only thing left is actually doing it. Gemini didn’t fix my NAS. It just ran out of excuses for me.
What’s Next
The NAS is currently rebuilding. The volume will be fully healthy again within a few hours.
But there’s one gap I haven’t closed yet: the NAS itself has no offsite backup. It backs up local devices — but if something happened to the house, the NAS goes with it.

That’s the next small project: a cloud backup solution that makes sense for a family NAS. Reliable, reasonably priced, and ideally not one of those subscriptions that quietly doubles in cost after two years.
